Mirror/Embed Tasks to Various Folders/Projects/Blocks
under review

Suppose I have a project called 'HouseX' which will go on for 2 years.
I insert a block called 'Master tasklist'
I keep adding whatever tasks that come up, to this block. Thus it acts as a common collection point for thoughts tasks etc.
We have weekly meetings for this project, lets say today 24 Jan 2022.
For this meeting, I create a block called 'Meeting 24 Jan 2022'
It would really conveninent to have some of those tasks from 'Master tasklist' CLONED or MIRRORED to 'Meeting 24 Jan 2022'
Right now, we can copy a task, but if I make a change to the copy, it does not change the original.
A CLONED or MIRRORED task would enable me to do that. This way, whatever tasks from 'Master tasklist' are cloned to 'Meeting 24 Jan 2022' - they will be the SAME task visible at 2 (or more places) and any decision made during the meeting (as a comment, note, attachment, subtask etc) can be added to the task listed under 'Meeting 24 Jan 2022' and it will be visible in 'Master tasklist' as well.
Thats not all. Suppose same task requires to be on agenda for next Monday meeting (very seldom do issues get resolved rightaway), then I can further clone the SAME task to a new block called 'Meeting 31 Jan 2022' and decisions made during that meeting will be further appended to the same task. Similarly I can create separate blocks for each consultant and Mirror the tasks there. All comments and updates from consultants will be available at multiple places.
Lets see the advantages.
- I can view all tasks in one go. When I open each task, I can view whatever decisions were made during each of the meetings (or whatever other blocks the task was cloned to).
- I can get a record of ALL items discussed, decisions made in the meeting on 24 Jan 2022. This will simplify my paper trail.
- I can get record of ALL items discussion, decisions made in the meeting on 31 Jan 2022.
- Since the task in each of the 3 blocks above is SAME task, I need not re-type or remember what was discussed when, who forgot their responsibility and everyone can be made accountable.
- My staff can very well clone their tasks into a block for themselves, arrange those tasks in whatever hierarchy they want and if they add sub tasks based on their work flow, those will show up in the same task and I can view it in either of the 3 blocks listed above.
I hope this explanation helps present my point of view.
One of the ways of achieving this could be by adding tags. But the problem is after a while my workspace will have tags called 'Meeting 24 Jan 2022' 'Meeting 25 Jan 2022' and so on, for each day of the calendar - since we have meetings everyday for some project or the other.

Referencing Sections from a project in other projects
juniorcarvalho21
I'd love to have the ability to reference sections in another project. Ex:
I have a project A with a list of tasks divided by sections.
I would like to reference this section inside another project. Today we only can reference people and projects. To have the ability to reference sections would be a game changer, because we could create deep connections between notes and tasks.
Narek Zograbian
Hey juniorcarvalho21! Do you mean embedding that specific section within another Taskade project? Or are you referring to simply linking to that section of another Taskade project?
We can copy the Task link of a section by clicking on the six dots on the left and clicking the copy link. That's the main workaround for this.
juniorcarvalho21
Narek Zograbian: Well, anything that allows me to see the tasks from another project without having to copy and paste (creating a duplicate list). Ex:
I have a project called: Project 1
And I have another project called: January Sprint.
I want to be able to see the tasks from my project 1 in the sprint project, so I don't need to duplicate it and once it's done, I can see it in both projects.
I hope it helps you to understand :)
Thanks a lot for your response, that matters a lot for us.

juniorcarvalho21: That makes sense. I've merged your request with another existing feature request. Thank you for the feedback! It helps our team better understand our users' needs.

it's one of those features that few apps support but that once the user experiences its power and usefulness they can't do without it... it allows for a flexible hierarchical structure that normal folders can't offer... .. to offer practical examples with which the user could benefit: for example, let's suppose that I have a list of problems and as a subtask I insert potential solutions.... each problem has its solutions but they are separated with traditional subtasks. ....if multiple problems share the same solution I have to create the same subtask for each problem.....instead mirroring would allow me to "connect" the different problems for which the same solution is effective.....but it's just one example, many others can be given....
Narek Zograbian
blandocanestrello: Hey there! Do you have examples of other apps that have a good implementation of this functionality?
blandocanestrello
Narek Zograbian: the best implementations I have seen so far are 2:
- Workflowy: it is the simplest, next to a line (bullet) click on the 3 dots and from the contextual menu that comes out click "Mirror (live copy)".. ....for a total of 2 clicks (if you want, there is also the keyboard shortcut that automatically creates the "mirrored copy" below to do it with a single action).....once the copy has been created you can drag it/move wherever you want.
- Amplenote: in amplenote there are no folders but nested tags....they can be nested together in a hierarchical structure which therefore allows you to tag a note with different tags nested in different positions so as to find the same note in more than one position in the hierarchical structure.
Both are valid solutions. The simplest is that of Workflowy which in my opinion would be even simpler if it allowed you to copy and paste a mirrored copy directly wherever you want with 2 keyboard shortcuts in the same way as traditional copy paste (ctrl-c/ ctrl-v).
Narek Zograbian
blandocanestrello: This was helpful! I think the main thing would be making these tasks quickly accessible through a keyboard shortcut or prompt. I like the way Workflowy handles it, with the (( )) prompt. We have a similar setup with our Project Link using the @ mention but I think we can definitely look into expanding this functionality.
Now follow-up question:
If the task is within a project that isn't shared with anyone and is mirrored in a project that is shared with everyone, would users in the shared project be able to mark off or edit the task? What are the permissions around this?
blandocanestrello
Narek Zograbian: unfortunately I have never found myself in this situation and I don't have the opportunity to try but personally I would expect the mirrored tasks not to be shown in the shared project, to give the user control over how to handle this situation you could insert an option to define the behavior such as these 3 options:
- do not show
- always show
- always ask the user (if there are any, ask the user whether to show them in the shared projects, returning a list of the mirrored tasks in question)
Narek Zograbian
blandocanestrello: Thank you for clarifying! This is helpful for our team. If you have any other feedback for this feature, send another message here!

This is a must for me as I have certain tasks which technically belong to a few different folders. I am surprised the option doesn't exist yet...
joewill
This would provide so much flexibility. 🙏

For me this would be specially helpful if we could link tasks from one project with other tasks from other projects or folders even.
For instance, if I have access to the manufacturing schedule of a product and also to the sales pipeline of that same client, I should be able to complete the task of the manufacturing schedule, thus automatically updating the pipeline to reflect that the client's product is done manufacturing.
Narek Zograbian
ricardo.couto: Hey there! How do you imagine the workflow for linking a task from another project?
taskadapocalypse
Just adding my excitement for this possibility! I would love to have a Master Task List that looks across multiple projects and then enables easy deep dive with a tagged project or click on the block. I think of it as the T-shape for broad scope with easy access to in the weeds detail. Thank you!
